Quick Tips to Transition Live Events to Virtual Events on CampusGroups

As many groups are transitioning events from in-person to virtual settings due to COVID-19 campus closures and social distancing mandates, newly remote officers can be left uncertain of the tools and steps necessary to effectively make an event remote-friendly (and still engaging!) The CampusGroups team would like to share some best practices from our wonderful campus partners at Binghamton University for creating, transitioning and promoting engaging virtual events for your group members (who more than likely are suddenly feeling isolated and very eager to connect with their fellow classmates).

Check out Binghamton’s quick tips on best practices to transition your live events to virtual events.

  1. Add links to virtual meetings (such as Zoom, Slack or Google Hangouts) instead of room locations on the event creation form in the location field). Upon registering, your attendees will receive a confirmation email displaying a clickable link to easily access your event.

  2. Make sure the link to your virtual meeting is visible front and center in the event description on the event creation form. When registrants receive their confirmation email, they can choose to add the event to their personal calendar. The event description will automatically show up as the calendar event’s description including the link. (The link is clickable in the email.)

  3. Include “Virtual” in every event title.

  4. Add the “Virtual” Event Tag to every event.

  5. Encourage your event attendees to continue registering to events on CampusGroups as they normally would to maintain accurate and comprehensive attendance tracking for your group. You can also send out reminder emails about your upcoming event that can include the call-in information and push notifications letting attendees know about the email to everyone with the CampusGroups app downloaded on their phones.
